Agency Experience Coordinator (Receptionist) – Be the Heart of Apparent!
In-office, 5 days a week | Starting February/March 2026

Your responsibilities

• Welcome clients, visitors, and your fellow Apparent humans with warmth and style
• Keep the office running like clockwork, from calendars to catering to suppliers
• Support with coordinating onboarding, events, and other “agency moments” so everything feels smooth and thoughtful
• Manage multiple priorities calmly and proactively no chaos can shake you
• Build great relationships with clients, senior leaders, and teammates alike
• Take pride in the details, from meeting rooms to office supplies
• Step in wherever needed to make people’s day easier, better, and more fun

 

Skills

Experience & Background:
• Essential: Front-facing, service-oriented experience (reception, office coordination, hospitality, customer service, events, workplace experience)
• Essential: A minimum of around 12 months of administrative or similar experience
• Essential: Comfortable juggling multiple priorities in a fast-paced environment
• Desirable: Agency, creative, professional services, or corporate experience
• Bonus points: Event coordination, onboarding, or admin support

Skills & Superpowers:
• Highly organised with an eye for detail
• Calm under pressure and adaptable in a dynamic environment
• Tech-savvy with calendars, email, and Google systems
• Confident in communicating with clients, senior leaders, and vendors
